Treasurer Responsibilities

The Treasurer’s duties and powers shall be

  1. To maintain sufficient records of the current Corporation members so names, addresses and the status of each can be determined, both current and past
  2. To maintain and preserve books of account of the corporation financial activities which meet generally acceptable accounting principles
  3. To preserve the original documents supporting the book entries
  4. To pay all accounts approved by the Board of Trustees
  5. To handle all Corporation billings
  6. To receive and deposit receipts to the corporation accounts in such banks as the Board of Trustees shall designate
  7. To file liens and execute foreclosures when member’s accounts become delinquent
  8. To present completed tax and financial reports as often as shall be required by law or the Board of Trustees
  9. To manage and be responsible for the timely performance of Budget & Finance committee
  10. To perform such other duties as may be assigned by the President

The treasure needs to have the ability to operate the following computer programs

1. Microsoft Word
2. Microsoft Excel
3. Quick Books
4. Access

Bills are to be mailed out every two months starting in January. The payments are due in 30 days. If not received then interest and a rebill fee is charged. Liens are to be filed on delinquent members after 90 days. When a member is delinquent they loss the use of the swimming pool, clubhouse, water, etc.

The treasurer maintains the computer that allows access to the swimming pool and the clubhouse.

When a lien is going to be placed on a members property the Treasure needs to send a letter to the owner informing them of placement of the lien and the cost to have the lien released. A copy of the lien is sent to the property owner.

When water is to be shut off to a members property because of non payment a letter is sent telling them of the date when the water will be shut off and the cost of turning it back on. A notice should be posted on the property prior to the shut off of the water. The treasurer works with the Contractor to set dates etc.

When mailing labels are need for the Needler the Treasure will supply them.
